How to plan HVAC dispatch capacity and control callbacks
Start with the two technicians' paid hours, then subtract travel, loading, documentation, training, meetings, ordinary vehicle downtime, emergency reserve, and callbacks before assigning whole service or replacement blocks. Keep each callback tied to its original job and protect a feasible recovery window so quality failures do not silently consume the next customer's appointment.

How should two paid technicians be scheduled?
Build whole dispatch blocks around work that can actually be assigned. A service block includes preparation, travel, diagnosis, authorization, repair or next-step communication, documentation, collection handoff, and reset. A replacement block includes the crew configuration, loading, travel, installation, testing, cleanup, customer handoff, and return logistics.
Do not assign one technician, vehicle, specialized tool, or required qualified person to simultaneous work. Show when the technicians work separately and when a replacement requires both, then reserve time for ordinary overruns and emergency work under the stated policy.
How should travel, parts, and customer readiness enter capacity?
Group compatible work inside the defined service area and record actual travel rather than using straight-line distance alone. Confirm access, authorization, equipment identity, likely parts, deposit status, and customer readiness before dispatch when the service policy permits.
A booked slot without a usable vehicle, required tool, qualified technician, customer access, authorization, or ready equipment is not productive capacity. Record why work was delayed so the next schedule changes the actual constraint.
How should callbacks be controlled?
Link each callback to the original job, technician, equipment, diagnosis, work performed, parts, paid callback hours, repeat travel, customer outcome, and any supplier or manufacturer recovery. Keep a callback out of new-sales counts and include its hours in the productive-capacity reconciliation.
Review callbacks by cause: diagnosis, installation, part failure, documentation, customer instruction, or another supported category. Change the intake, test, documentation, stocking, training, or supervision step that can prevent recurrence; do not use a single callback percentage to hide the cause.
