How to turn daycare ratios and group limits into a paid staffing roster

What to have ready
Bring the exact license type, current official rules, age definitions, proposed rooms, group-size limits, children expected by half-hour interval, staff qualifications, operating hours, break requirements, director duties, relief and substitute plan, and evidence for pay rates and employer additions.

How should ratios and group limits be entered?
Identify the responsible jurisdiction, license type, rule version or effective date and exact age band before entering a ratio. Record maximum group size separately. The calculator values are authored examples and do not state a national legal standard.
Map children to each proposed room. Apply the ratio and group limit room by room; do not divide all children by one blended center ratio. Mixed ages, transitions, sleep periods, volunteers or trainees can change applicability and require a separate documented answer.
How do concurrent positions become paid hours?
For each room and relevant time block, round required staff upward. A fractional employee cannot supervise a room. Place arrival, departure, meals, outdoor movement, nap, breaks, meetings and cleaning on the schedule so coverage is tested when children are actually present.
Multiply concurrent positions by the covered hours and open days, then add explicit relief for breaks, opening, closing, training and ordinary absence risk. Convert weekly person-hours to an average month with 52 ÷ 12 only for budgeting; the payroll calendar and overtime test still need actual shifts and pay dates.
Where do director and substitute duties belong?
Budget director work once as management and administration. Count the director in a room only for a documented interval when qualifications, current rules and simultaneous duties allow it. An office task and direct supervision cannot occupy the same person at the same time.
Stress the roster with one qualified absence and one age-group transition. Identify who can cover, how quickly a substitute can arrive, which room or hours would close, and what the coverage costs. Make premises and enrollment commitments conditional on a feasible staffed day.
Four rooms require eight concurrent classroom positions before relief in the authored example
This exercise enters an infant ratio of 1:4 with an eight-child group limit, a toddler ratio of 1:6 with a 12-child group limit, and a preschool ratio of 1:10 with a 20-child group limit. These values are planning inputs, not a national rule.

What this changes: The room plan needs eight people simultaneously before relief in this entered case. Removing one employee from an average center-wide calculation would leave a room uncovered even though the total child-to-staff average could look acceptable.
